Payment and Cancellation - 30 Day Policy

Grace Period:

  • Guests may cancel for free provided that: (1) reservation is canceled within 48-hours of reservation confirmation, and (2) reservation was confirmed at least 11 days before scheduled arrival.

Payment Policy:

  • 30 days or less prior to arrival: Guests pay 100% at time of reservation.
  • More than 30 days before arrival: Guests pay 50% at time of reservation, the remaining 50% will be charged 30 days prior to arrival.
  • For guests paying with Points or Cash & Points: 100% of payment of both Cash & Points will be deducted at time of reservation, once booking is verified within 48 hours.

Cancellation Policy:

  • 30 days or less prior to arrival: No refund issued, unless ‘Grace Period’ applies.
  • More than 30 days before arrival: 100% refund.

  • MINIMUM AGE REQUIREMENT
  • No condominium or beach house will be rented to vacationing students or young singles unless accompanied by a parent. Singles must be 25 years of age or older. Parents must check in and occupy the condominium or house with their children during the entire rental period. Failure to do this will result in ejection of the unaccompanied youth and forfeiture of all payments. Any reservation made under false pretenses will result on forfeiture of advance payment and the party will not be permitted to check in.
  • CONFIRMATION
  • Confirmation of your reservation will be emailed upon receipt of the reservation advance payment. Please read the confirmation for accuracy of dates and accommodations.
  • DEPARTURE CLEANING
  • A departure cleaning/linen fee is charged once to each reservation. Pricing variations may apply for additional baths, bedrooms or larger homes and condominiums.
  • HOUSE PARTIES
  • House parties are not allowed! Occupancy is strictly limited to the sleeping capacity of the condo or beach house. Maximum sleeping capacity is noted on your reservation. Management reserves the right to enter the rental property anytime to investigate disturbances, check occupancy and/or check for damages.
  • No condominium or beach house will be rented to vacationing students or young singles unless accompanied by a parent. Individuals must be 25 years of age or older, or married. Parents must check in and occupy the condominium or house with their children during the entire rental period.   • PARKING
  • Please remember to pick up your parking pass at the Service Desk.
  • All parking is limited and at some locations more restrictive than others. Parking is limited to paying guests only. One permit is provided for a 1-bedroom unit. Two permits are provided for a 2-bedroom or 3-bedroom property. Three parking permits are provided for our 4-bedroom condos, except Phoenix West II that only allows 2 parking passes for 3- & 4-bedroom units. Parking permits must be displayed at all times. You are subject to the parking regulations as set by the Homeowners Association. Parking charges are determined by the Homeowners Association and will vary. These fees are included in your grand total charges unless noted below and are subject to change. The property manager does not collect for parking charges at Phoenix I, Phoenix II, Phoenix III, Phoenix IV, Phoenix V, Phoenix VIII, Phoenix on the Bay II, Phoenix West, The Oasis, formerly Phoenix West II, Phoenix Gulf Towers, or Gulf Shores Surf and Racquet Club. There is no parking for RVs, busses, extend-a-van or boat trailers. The property manager does have a limited amount of off-site parking you may use on a first come first served basis. Please check with the Service Desk staff at check-in for availability.
  • Island Winds East Units: On-site parking is limited to one (1) parking pass per unit, regardless of size during Spring Break, mid-May through mid-August, Labor Day, and Shrimp Festival event. Subject to change.
  • Phoenix on the Bay II and Gulf Shores Surf & Racquet Club: All parking fees will be collected on-site upon arrival by a representative of the Homeowners Association. Subject to change.
  • Phoenix V: All parking fees will be collected on-site upon arrival by a representative of the Homeowners Association. (Note: Phoenix V only accepts credit or debit card payments.)
  • Phoenix I, Phoenix II, Phoenix III, Phoenix IV, Phoenix VIII, Phoenix X, Phoenix West, Phoenix Gulf Towers: You will have the option to register and purchase parking passes online in advance of your arrival or at the service desk when you check-in. You will be receiving an email from VRPAccess with a registration link to register and purchase your parking passes.
  • Plantation West: Plantation West now offers the convenience of purchasing parking passes online for the Resort Conference Centre. Guests can easily purchase parking passes for their vehicles on a daily basis through their website here.
  • The Oasis, formerly Phoenix West II: The Oasis, formerly Phoenix West II now offers the convenience of purchasing parking passes online. Guests can easily purchase parking passes for their vehicles on a daily basis through their website here.
  • SMOKE FREE PROPERTIES
  • All properties are smoke-free accommodations - except for designated outdoor smoking areas. The non-smoking policies, which include e-cigarettes, apply to all common areas (i.e. pool decks, stairwells, etc.), inside condominium units and on balconies. If a smoking violation occurs, guests will be ejected without refund and charged a $250 non-refundable cleaning fee.
  • WRISTBANDS
  • ALL guests and owners at the following buildings are required to wear wristbands while on the property.
  • Phoenix Gulf Shores: Required all year.
  • Phoenix West: Required Spring Break to Labor Day, and Fall Break season. (Subject to change.)
  • Phoenix West II: Required all year.
  • Phoenix I, II, II & IV : Required all year.
  • Phoenix X: Required all year.
  • Phoenix IX: Required during Mullet Toss and Fourth of July. (Subject to change.)
  • Phoenix V: Required all year.
  • Phoenix on the Bay: Required Spring Break to Labor Day, and Fall Break season. (Subject to change.)
  • The number of wristbands given out are based on the sleep capacity of individual units. The first wristbands are issued at no charge, a fee may be charged for replacement wristbands and if the original is broken, it must be returned to be replaced at no charge.
  • DAMAGES
  • Each guest will be financially responsible for damage done to the property, including its elevators, beyond normal wear and tear. Any damages in the unit upon your arrival should be reported immediately to the front desk.
  • LINENS
  • A basic supply of linen is provided in each property. Bed linen and bath towels are not changed during your stay. The start-up set of bath soap, toilet tissue and trash bags are not replenished.
  • FOR SALE
  • If a property is for sale, the owner reserves the right to have his property shown to prospective buyers at any time during your stay. Every effort will be made to schedule the showing at a convenient time for you during business hours, all 7 days of the week.
  • FURNISHINGS
  • All vacation properties are individually owned and are decorated to suit the owner. Decor, style, and color will vary. Furnishings are subject to change without notice. Please do not transfer furnishings of any kind from one property to another. Loss of these items as well as damage to the unit or furnishings in excess of normal wear will be charged to you, the renter. If you require special appliances or equipment, please bring them with you.
  • SOFA SLEEPERS
  • Most condominiums offer sofa sleepers. We recommend they be used only by children.
  • SPECIAL REQUESTS AND UNIT CHANGES/MOVES
  • Every effort will be made to accommodate special requests for height levels, bedding types and smoking or non-smoking properties when possible. The property manager could potentially be required to move your rental to a different unit due to owner requests, water damages, construction, or removal of that unit from the property manager rental program. Every effort will be made to move you to a like unit in the same property as originally booked, or in one of our many like properties. If there are no like units, you will be given the option to 1) cancel and receive a full refund, 2) receive a refund in difference in rate if a lower rate, or 3) pay the difference in rate if moved to a higher rate.
  • MAINTENANCE
  • Please report any malfunctioning equipment or damage as soon as possible to your check-in location. Every effort will be made to correct the situation as soon as possible. Repairmen may enter the premises during business hours for purposes connected with repair, care, or maintenance of the rental property.

  • DURING YOUR STAY
  • CLEAN BEACHES
  • Effective Jan. 1, 2016, the cities of Gulf Shores and Orange Beach require the daily removal of all personal items from the beach —such as canopies, tents, chairs and umbrellas — to ensure the safety and cleanliness of our beaches and the protection of wildlife and natural habitats. According to ordinances in each city, any personal property left on the beach one hour after sunset will be removed and disposed of overnight. For more information on the "Leave Only Footprints" initiative, visit www.cleanisland(dot)org.
  • BEHAVIOR
  • Please act accordingly and with respect to other vacationers. No profanity, loud music, lewdness, arguing or other such acts that will impact the pleasure, rest and relaxation of other guests by any members of your party. In accordance with Ordinances 54.21-23, these behaviors could result in the police being called, but also may include ejection and ending your vacation.
  • BEACH SAFETY
  • Make sure you remain BEACH SAFE during your stay. We want the vacation memories you take home to be happy ones! Take a moment to look at VisitALBeaches(dot)com/safety for more details.
  • WARNING FLAG SYSTEM
  • Please be aware that there are no lifeguards on duty, and that it is your responsibility to know and follow the warning flag system. Neither the property manager, nor the Homeowner’s Association, are responsible for any injuries or potential drownings on the beaches in front of the properties.   • PARKING LOT
  • Please be advised that neither the property manager, nor the Homeowners Association, are responsible for any damages or theft that your vehicle may incur while parked on the premise.
  • GRILLING
  • Fire department regulations prohibit the use of a grill on all decks, porches and balconies. Most rental properties have approved grills available for use at ground level.
  • BALCONIES
  • We ask that you do not hang anything from balconies, this is to include towels, bathing suits and flags of any type. Please do not throw, pour or drop items from balconies such as food, drink, pocket change, or other. This will result in immediate ejection and ending your vacation.
  • FIREWORKS
  • Fireworks are prohibited at all rental properties! The use of fireworks on buildings, grounds or the beach is against city ordinances and the fire code. Use of fireworks will be reported to local authorities. Parents are responsible for supervising their children. Please leave your fireworks at home.
  • TELEPHONE SERVICE
  • Each property has a telephone for your convenience. Long distance calls must be made collect, or charged to your credit card or personal home phone.
  • CRIBS AND HIGH CHAIRS
  • Cribs and high chairs may be rented through local furniture rental companies.
  • INCLEMENT WEATHER
  • Refunds will not be made due to inclement weather. If evacuation is mandated by civil authorities, you will be given a refund for the unused portion of your rental period.
  • AGENCY DISCLOSURE
  • The property manager serves as the agent and representative of all owners of condominium units and houses on its rental program, and is acting always, in and for the best interest of the owners.
  • ANIMALS
  • Pets are not permitted in any rental unit. A pet, or evidence of a pet, will result in forfeiture of rent and removal of the guests. We will be happy to recommend local kennels. Please ask a reservationist when you call.
  • Service Animals are allowed. Service Animals are defined as dogs and, in some circumstances, miniature horses that are individually trained to do work or perform tasks for people with disabilities. Service animals do not include comfort animals or emotional support animals. Comfort animals and emotional support animals are not allowed at the managed properties. As of September 1, 2019, there is a criminal penalty for those who misrepresent an animal as a service animal or an animal-in-training.
  • If you will have a Service Animal with you during your stay, we ask that they remain on a leash when outside of the condo and under their handler’s control at all times. The animal will be removed from the premises if it is out of control or it is not housebroken.
  • ERRORS
  • Every effort has been made to assure all descriptions are accurate, however the property manager is not responsible for changes in furnishings and equipment, or for printing errors. Rates and specials are subject to change without notice.
  • USE OF FACILITIES
  • Accommodations and amenities are provided for your enjoyment. By using these facilities, you assume responsibility and liability for your actions. Neither the property owner, the management company, nor the owner's association assume any liability for accidents or injuries.
  • LOST AND FOUND
  • Although we are not responsible for personal items missing or left behind, we will attempt to locate and return them to you. Grocery, HBA and any type of liquids will not be returned. Items will be held for 30 days, then any unclaimed items will be donated to charity or discarded.
  • CHECK OUT
  • CHECK OUT PROCEDURES
  • Departure from the premises is required by or before the specified checkout time. At beach houses, you are responsible for removal of any litter on the grounds around the property.
  • Please set the thermostat temperature at 75 degrees F for summer and 65 degrees F for winter.
  • Our housekeepers will strip and remake the beds, replace linens, vacuum, dust, clean the bathrooms, and mop the kitchen floor. If additional cleaning is required, you will be charged.
  • Keys must be returned to your check-in location! Do not leave keys at the property! Unreturned or lost keys will result in the lock being changed at a cost to you of not less than $50.00.
