Payment & Cancellation - 60 Day Policy

Grace Period:

  • Guests may cancel for free provided that: (1) reservation is canceled within 48-hours of reservation confirmation, and (2) reservation was confirmed at least 11 days before scheduled arrival.

Payment Policy:

  • 60 days or less prior to arrival: Guests pay 100% at time of reservation.
  • More than 60 days before arrival: Guests pay 50% at time of reservation, the remaining 50% will be charged 60 days prior to arrival.
  • For guests paying with Points or Cash & Points: 100% of payment of both Cash & Points will be deducted at time of reservation, once booking is verified within 48 hours.

Cancellation Policy:

  • 60 days or less prior to arrival: No refund issued, unless ‘Grace Period’ applies.
  • More than 60 days before arrival: 100% refund.

  • We kindly ask that you depart the promptly by 10:00 AM. This timing is essential as our cleaning team depends on the full turnover window to properly prepare the home for incoming guests.
  • This vacation rental agreement is entered into by and between the tenant (renter) and Property Manager LLC (manager). By submitting payment for the reservation, the tenant agrees to abide by all the terms and conditions outlined in this agreement. It is the tenant's responsibility to read and understand the policies stated herein. This rental is for temporary vacation use only and does not create a permanent tenancy or primary residence of any kind.
  • Rental Physical Address: 412 Rainier Road McGaheysville VA 22840
  • MAXIMUM OCCUPANCY: The maxiumum number of overnight guests is limited to fourteen (14). At no time shall the total number of occupants exceed fourteen (14) persons, whether overnight or during the day. Exceeding this limit is a violation of the rental agreement and may result in immediate removal of all tenants and guests from the property, as well as forfeiture of the security deposit and all rental payments.
  • Other conditions:
  • 1. All Guests agree to use and occupy the premises solely for short-term vacation purposes and for no other use without prior written consent of the manager. The premises shall not be used for any unlawful activities or for any purpose deemed hazardous or inappropriate by the manager.
  • 2. Guests may adjust the thermostat as needed; however, we ask that the air-conditioning is never set below 68 degrees F and heat should not be set above 75 degrees F. Setting temperatures outside of these ranges may place undue strain on the system, potentially resulting in damage. To ensure efficient operation, please keep all doors and windows closed while heating and cooling is in use and ensure all are securely shut upon departure.
  • 3. Manager and property team reserve the right to enter the property without notice in the event of an emergency to ensure the safety and protection of the premises and its occupants. Outside of emergency situations, the managers and team will make every reasonable effort to communicate with the tenant in advance before accessing the property for maintenance or other necessary purposes.
  • 4. This lease may not be assigned or sublet in whole or in part without the prior written consent of the manager. under no circumstances may the number of guests, occupants or parked vehicles exceed the amount stated in the reservation without prior approval from the manager. Any violation of this condition may result in immediate termination of the rental agreement and forfeiture of rental payments and security deposit.
  • 5. Guest agrees to observe and comply with all applicable laws, regulations and community rules related to the property and its community. This includes adherence to any guidelines provided by the manager for the safety, cleanliness and care of the premises, as well as for maintaining the comfort and quiet enjoyment of the neighboring properties. Guests are also responsible for ensuring that all members of their party comply with these standards including those outlined in any house rules and neighborhood rules. Please note that Massanutten includes many full-time residents and respectful proper conduct is expected at all times. If security is called to the property due to a noise complaint or safety violation, guests will be required to vacate the property immediately, and no refund will be issued.
  • SMOKING: This is a strictly non-smoking property. Smoking of any kind (including cigarettes, cigars, vaping, or marijuana) is not permitted inside the home under any circumstances. Any violation of this policy by the tenant or their guests will result in the tenant being held financially responsible for all costs related to smoke remediation, odor removal and additional cleaning required to restore the property to its original condition.
  • PETS: We love furry friends! Dogs are welcome with prior approval from the manager and a completed Pet Addendum to your lease. Only the pets listed on the Pet Addendum are allowed on the property. Unauthorized pets are not permitted. Bringing any unapproved animals may result in termination of your agreement and being asked to vacate the property immediately, with no refund for the remainder of your stay.
  • We allow up to two small dogs (30 pounds or less). There is a pet fee of $35 per pet, per night. To help keep the space clean and comfortable for everyone, we kindly ask that pets stay off the beds and furniture. Thanks for understanding and helping us maintain a welcoming environment for all guests!
  • RENTAL RULES: Tenant(s) agree to follow the Rental Rules for the property and for the community. Tenant(s) are also responsible for ensuring that all members of their group, as well as any guests they invite to the property, follow these rules at all times while on the premises
  • Quiet Hours: To help everyone enjoy a peaceful stay, we kindly ask that all guests observe quiet hours from 10:00 PM to 8:00 AM daily. During these hours, please bring all noise indoors and avoid loud music, shouting, or other disruptive sounds—keep in mind that noise can carry easily in the area.
  • Massanutten Security actively monitors for noise disturbances, and they may respond to any complaints. Please note that any fines issued due to noise violations or failure to follow community rules will be the responsibility of the guest and will be passed along accordingly.
  • Cancellation: For details on the cancellation policy, please refer to the information provided on your booking platform, as that policy will apply to your reservation.
  • Liability: The host is not responsible for accidents, injuries or loss of belongings during a guest's stay.
  • To ensure a smooth checkout and avoid additional charges, we kindly ask that the following conditions are met:
  • a) The property and its contents are left in good condition, with no damage beyond normal wear and tear.
  • b) No charges are incurred due to violations such as smoking, unauthorized pets, exceeding occupancy limits, or unpaid services during your stay.
  • c) The home is left reasonably clean: all trash is properly bagged and placed in the outdoor canisters, and dishes are washed.
  • d) Utilities are used responsibly, with no excessive charges.
  • e) All items belonging to Alpine Haven—including linens, towels, bikes, chairs, and other provided amenities—are accounted for and undamaged.
  • f) All departure instructions have been followed as outlined in your check-out guide.
  • g) No tape, adhesive strips, or similar materials are to be placed on the walls. Any wall damage caused by adhesives will result in a professional repainting fee
  • If additional cleaning is needed to remove pet hair, odors, or waste from the house or property, the cost will be deducted from your security deposit or submitted through a damage insurance claiim. Please note that if the home requires extra cleaning beyond normal expectations, a fee of $100 per hour will be charged and deducted from the security deposit or insurance aircover claim.
  • Acts of God: We understand that sometimes unexpected events happen. However, neither the manager nor agent can be held responsible for situations beyond our control that may affect your stay, such as natural disasters, government actions, fires, strikes, war, or severe weather. Please note that we do not offer refunds or transfers if your booking is impacted by such events. If you’re concerned about these potential risks, especially during hurricane season (September-November), we recommend looking into a travel protection plan to help cover you in case of unforeseen circumstances.   • This is a privately owned home, and while we want you to have a wonderful stay, please note that the manager is not responsible for any accidents, injuries, or illnesses that may occur while on the property or using its facilities. The homeowners also aren’t responsible for any lost personal belongings or valuables during your stay. By accepting this reservation, you and your guests are acknowledging that you’re assuming any risks related to your use of the property or inviting others to do so.
  • ROAD AND ROAD CONDITIONS: MANAGER/Owner is not responsible for adverse road conditions that may impede access to the cabin.
  • Mechanical Issues: While we strive to ensure everything is in working order, the manager cannot guarantee against mechanical failures of electrical systems, plumbing, water supply, heating, hot tub, audiovisual equipment, internet, television, or appliances. If you encounter any issues with equipment during your stay, please let us know right away. We'll do our best to get things repaired as quickly as possible.
  • Rental Assignment: In the rare event that the rental property becomes unavailable or uninhabitable, the manager reserves the right to ask you to move to a different property. Rest assured, we’ll do our best to make any transition as smooth as possible.
  • Listing Information: We strive to provide accurate details about the rental property, but please note that we cannot guarantee all information. Some furnishings and amenities may change from time to time without prior notice.
  • POOL PASS: There is a pool pass available for your group’s use during your stay (Summer months). The pool pass is required to be granted admission into the pool but there is still a per person fee. Upon departure, the pool pass needs to be returned to the refrigerator. If the pool pass is lost, there will be a $200 fee that will be taken out of your deposit.
  • Trash: We kindly ask that all guests remove their trash upon departure. If the trash is not removed, a $150 fee will be charged for disposal. There are public dumpsters conveniently located throughout the resort for your convenience.
  • Parking: For the safety of all guests and residents, please park entirely off the road. The Massanutten Police Department will issue tickets to any vehicles with tires on the road. We kindly ask that guests use the designated parking area and driveway for their vehicles. If you have additional cars, there are free public parking areas nearby. Please note that the maximum number of vehicles allowed at Alpine Haven is 5.

  • Pet Deposit/Fee: $35 per night, per pet – up to 2 small pets (30 pounds or less each)
  • This addendum is an agreement between the Manager and Tenant, and it modifies the Short-Term Lease between both parties.
  • Permission: The Manager grants permission for the tenant to keep their pet(s) on the premises, subject to the terms and conditions of the short-term lease. If the tenant fails to comply with any part of this agreement or the lease, the Manager reserves the right to revoke this permission at any time.
  • Pet Deposit/Fee: The tenant has paid a non-refundable pet fee to ensure compliance with the terms of the lease and addendum, including returning the property in good, clean condition, free of pet damage, and pest-free at the end of the lease term. This fee is intended to cover any extra cleaning or repairs caused by the pet and will not be refunded, even if the pet is removed before the end of the lease or no damage occurs.
  • Pet Control: The tenant agrees to comply with all local laws and ordinances, including keeping the pet up-to-date on immunizations and leashing the pet when outdoors. The tenant is responsible for promptly cleaning up after their pet and ensuring that pet waste is disposed of properly. Pets should not be allowed to disturb others with excessive barking, howling, or other loud noises. Vicious or aggressive pets, or pets with a history of attacking people or other animals, are not permitted. Pets should never be left unattended on the premises unless crated, and they are not allowed on furniture. Tenants are responsible for any additional cleaning or repairs caused by their pet.
  • Condition of Premises: The tenant is responsible for any damage caused by the pet, including repairs or replacements deemed necessary by the Manager. This includes any infestation or odor issues, such as extermination or carpet cleaning, and potential floor refinishing.
  • Additional Entry Rights: In addition to the Manager’s rights under the lease, if any complaints arise regarding the pet or the Manager has reason to believe there’s been a violation of this agreement, the Manager may request the pet be removed from the property.
  • I have read and understood this document. I also understand that by "agreeing to the terms," I am voluntarily giving up certain legal rights.
