Payment & Cancellation - 60 Day Policy
Grace Period:
- Guests may cancel for free provided that: (1) reservation is canceled within 48-hours of reservation confirmation, and (2) reservation was confirmed at least 11 days before scheduled arrival.
Payment Policy:
- 60 days or less prior to arrival: Guests pay 100% at time of reservation.
- More than 60 days before arrival: Guests pay 50% at time of reservation, the remaining 50% will be charged 60 days prior to arrival.
- For guests paying with Points or Cash & Points: 100% of payment of both Cash & Points will be deducted at time of reservation, once booking is verified within 48 hours.
Cancellation Policy:
- 60 days or less prior to arrival: No refund issued, unless ‘Grace Period’ applies.
- More than 60 days before arrival: 100% refund.

- - PUT BLUE PARKING PERMIT IN VEHICLE ON DASH.
- - READ AND KEEP THIS LETTER FOR YOUR INFORMATION.
- - CONTACT: Contact Property Manager directly for any non-emergency rental related requests. The association office is not an information desk, printing center or concierge and there is no exercise facility on the property. Contact your rental agent (not the association office) for supplies, cleaning, early check-in, late check-out, or maintenance issues and beach equipment rentals.
- - EMERGENCIES: For medical emergencies call 911. During a power outage 911 is not available from in-room phones. AED is located on the first floor between units 101 & 102.
- - PARKING: Parking is by permit only. Park in “unreserved” stalls only. The registration agreement form must be completed and dropped in the box outside the office within 24 hours of arrival. Blue parking permits will be left in unit for guests and must be placed on vehicle dashboard
- the first night of your arrival. Leave permit in unit when checking out for next guest to use.
- - GATE TAGS AND CODES: Each unit has its own private codes and tags for the vehicle and pedestrian gate. Your vehicle hang tag will be left in the unit ahead of your arrival and must be returned to the unit for the next unit occupant. The code for the pool and beach gate is property wide and located on the top of the trash chutes on each floor.
- - STORAGE: Paddle boards and kayaks are not permitted anywhere on property except on storage racks on the back wall in the parking garage. If you rent boards or kayaks during your stay, you are required to notify the office in person.
- -TRASH ROOMS are located on each floor between the elevators - put bagged trash down the chute. RECYCLABLES and bagged trash may be disposed of in the main trash room in the basement. Toilet paper only may be flushed down toilets.
- - POOL RULES posted on the pool gate must be followed including no “Marco Polo”. It is a“quiet pool” and the use of any noise producing devices is permitted only with ear buds or headsets. PLEASE COVER LOUNGE CHAIR CUSHION WITH A TOWEL. Neither pool nor lawn furniture may be reserved, unoccupied, for more than two hours. CLOSE the pool gate.
- - SPORTS: Ball Playing, kicking, or throwing of objects is not allowed anywhere at any time. Activities, parties, or gatherings are not permitted on the lawns and common areas at any time. Out of respect for all residents, loud noises, loud cell phone use and screaming is not allowed at anytime, anywhere on the property.
- - QUIET HOURS: Quiet hours are from 10:00 P.M. to 8:00 A.M. Vacuum cleaners should not be used during quiet hours and activities on lanais should move inside. TV and music volumes in the units must always be kept discreet at all times.
- - SMOKING: Polo Beach Club is a non-smoking property. Contact security to notify of smoking in common areas and on lanais.
- - LANAI: Please do not hang any clothing, equipment or towels over the walkway or lanai railings at any time.
- -PESTS: To minimize insects and prevent rodents from entering your unit, keep your lanai screen door closed. To avoid ants, place open beverage containers and food items in the refrigerator.
- - SUNSCREEN spray products must be used away from the building. It presents a slip and fall hazard on the walkways and tile floors.
- - DRONES: The use of drones on Polo Beach Club property is prohibited without prior approval from the AOAO Board and the General Manager.
- - WARNING! Entering and swimming in the ocean is always hazardous under any conditions and may cause serious bodily injury and death. Ocean hazards include, but are not limited to, dangerous shore break, strong current/undertow, high surf, jelly fish and possibility of sharks. Anyone entering and swimming in the ocean assumes the risks involved with such action. This warning notifies all persons that the Polo Beach Club Association does not provide a lifeguard for the beach and ocean area and accepts no responsibility for use of the beach or ocean by anyone, whether an owner, tenant, invitee, licensee, or the public.
- PETS: Visiting animals are not allowed on the property unless the animal is necessary or a handicapped/disabled visitor.
- Owners and guests are expected to clean up after their animals and ensure that they do not “mark” or urinate on Polo Beach Club property. Animals must be leashed and under full control at all times when outside a unit. Any animal that is a nuisance, or causes unreasonable disturbance to any resident, or common areas will be promptly removed by the owner upon the written request of the Board.
- VALID EMAIL ADDRESS REQUIREMENT:
- To ensure a smooth and secure stay, we require that the primary guest provide a valid email address within 24 hours of booking confirmation. This email will be used to deliver your rental agreement, arrival instructions, entry codes, and other important stay-related details.
- RENTAL AGREEMENT:
- After booking and providing your email, you’ll receive a link to our Guest Portal where you’ll need to complete two required steps:
- Guest Information Form – Includes the total number of guests, their names and ages, and the purpose of your stay.
- Rental Agreement – This must be reviewed and signed through our Guest Portal, as third-party platforms do not display our full rental terms.
- These items must be completed within 48 hours of booking or at least 24 hours before arrival, whichever comes first. If you’d like to review the rental agreement before booking, feel free to reach out and we’ll be happy to share it.
- AGE REQUIREMENT: You must be a minimum of (18) years old to rent this property.
